This Shipping & Duties/Taxes Policy explains how JAPAN-ITEMS™ handles international shipping, delivery, customs duties, import taxes and related charges.

This Policy applies to orders placed through the JAPAN-ITEMS™ online store.

1. Shipping Origin

Products offered through JAPAN-ITEMS™ are sourced from Japan and shipped internationally.

Many items are pre-owned, vintage, collectible, discontinued, rare or otherwise limited-availability objects. For this reason, an order may involve several steps before international shipment, including availability confirmation, sourcing, domestic handling in Japan, inspection, preparation, packing and export processing.

2. Supported Destinations

JAPAN-ITEMS™ ships only to selected international destinations supported at checkout.

Available shipping destinations may depend on product type, carrier availability, customs requirements, import restrictions, destination country rules, delivery risk, logistics partner coverage and other operational factors.

If a destination is not available at checkout, JAPAN-ITEMS™ may not currently be able to ship to that destination.

JAPAN-ITEMS™ may cancel and refund an order if, after order placement, it becomes clear that the product cannot be shipped legally, safely or reasonably to the customer’s destination.

3. Order Processing and Sourcing Time

Because many items are sourced individually from Japan, the processing time may include:

  1. confirmation that the item is still available;
  2. purchase or reservation of the item in Japan;
  3. domestic transfer to a logistics partner or warehouse;
  4. inspection, handling and preparation for international shipment;
  5. packing and export documentation;
  6. handover to an international carrier.

Order processing times may vary depending on item availability, seller response time, domestic shipping in Japan, warehouse workload, holidays, product category, inspection requirements and carrier schedules.

If an item is no longer available, the customer will be offered a full refund or, where possible, an alternative comparable item for approval. No alternative item will be shipped without the customer’s express approval.

4. International Shipping

International shipping is arranged by JAPAN-ITEMS™ through logistics partners, carriers, customs brokers or other fulfilment providers.

Carriers may include express couriers, postal operators, freight partners or other delivery providers, depending on the destination, product type and shipping method available for the order.

Tracking information will be provided when available.

Delivery times displayed on the Store, in emails or by carriers are estimates only. Delivery may be affected by sourcing time, domestic handling in Japan, export processing, international transport, customs clearance, local delivery conditions, holidays, weather, carrier delays, security checks, force majeure events or other circumstances outside JAPAN-ITEMS™ reasonable control.

5. All-Inclusive Pricing

JAPAN-ITEMS™ aims to provide an all-inclusive international shopping experience.

Unless clearly stated otherwise at checkout, the price paid by the customer includes:

  1. the item price;
  2. standard international shipping;
  3. handling and preparation for shipment;
  4. applicable import duties;
  5. applicable import taxes, including VAT or similar taxes where relevant;
  6. standard customs charges;
  7. standard carrier import processing charges related to the shipment.

This means that the customer should not be required to pay standard import duties, import VAT, customs duties or standard customs clearance charges separately upon delivery where the shipment is processed under JAPAN-ITEMS™ all-inclusive delivery arrangement.

6. Duties, Taxes and Import Charges

International shipments may be subject to duties, taxes, VAT, customs charges, import processing fees or similar charges imposed by the destination country or charged by carriers and customs brokers.

Under JAPAN-ITEMS™ all-inclusive delivery model, these standard charges are arranged or paid by JAPAN-ITEMS™ through its logistics partners, carriers, customs brokers, applicable tax schemes or other fulfilment arrangements.

The customer pays the final price shown at checkout, unless a different arrangement is clearly stated before purchase.

JAPAN-ITEMS™ does not describe its products as tax-free or customs-free. Duties and taxes may still apply to international shipments, but under the all-inclusive model they are included in the price paid by the customer and handled by JAPAN-ITEMS™ where applicable.

7. If a Carrier Requests Payment from the Customer

The customer should not be required to pay standard import duties or import taxes upon delivery where the shipment is processed under JAPAN-ITEMS™ all-inclusive delivery arrangement.

If a carrier, customs authority, delivery provider or customs broker unexpectedly asks the customer to pay import duties, import taxes, VAT, customs charges or standard import processing fees, the customer should contact JAPAN-ITEMS™ as soon as possible.

Where reasonably possible, the customer should contact JAPAN-ITEMS™ before making payment.

The customer should provide:

  1. order number;
  2. carrier name;
  3. tracking number;
  4. copy or screenshot of the payment request;
  5. amount requested;
  6. reason or description of the charge;
  7. any invoice, customs notice or carrier message received.

JAPAN-ITEMS™ will review the case and assist in resolving the issue with the logistics partner, carrier or customs broker where possible.

If the customer has paid a standard import duty, import tax or customs charge that should have been covered under JAPAN-ITEMS™ all-inclusive delivery arrangement, JAPAN-ITEMS™ may reimburse the customer after reviewing valid proof of payment, provided the charge was not caused by a customer-related issue or an exceptional non-standard charge.

8. Charges Not Covered by the All-Inclusive Model

The all-inclusive delivery model covers standard international shipping and standard import duties, import taxes and customs charges related to normal delivery of the order.

It does not cover additional or exceptional charges caused by circumstances outside the standard delivery process, including but not limited to:

  1. incorrect, incomplete or outdated delivery information provided by the customer;
  2. customer refusal of delivery;
  3. failure to collect the parcel;
  4. repeated failed delivery attempts;
  5. storage or warehouse fees caused by customer delay;
  6. address changes requested after shipment;
  7. re-delivery charges;
  8. return-to-sender charges caused by customer action or inaction;
  9. reshipment costs;
  10. special local administrative charges not classified as standard import duties, taxes or customs clearance charges;
  11. charges caused by missing information requested from the customer but not provided in time;
  12. charges caused by unlawful, restricted or prohibited use of the product in the customer’s country.

Where permitted by law, JAPAN-ITEMS™ may deduct or charge reasonable additional costs caused by such customer-related circumstances.

9. Customs Clearance

JAPAN-ITEMS™ or its logistics partners will prepare or provide the information required for standard export and import processing, which may include commercial invoice data, product description, declared value, country of origin, HS/tariff classification where available, shipping details and other information required by carriers or customs authorities.

Customs authorities may inspect shipments, request additional information, delay clearance or apply destination-specific rules. Such actions are outside JAPAN-ITEMS™ direct control.

The customer agrees to provide reasonable assistance if required for customs clearance, delivery verification or local delivery requirements. This may include confirming identity, delivery address or other information reasonably requested by the carrier or customs authority.

10. Importer of Record

Depending on the destination country, carrier procedure, customs rules and fulfilment arrangement, the recipient may be treated as the importer of record for customs purposes, even where JAPAN-ITEMS™ arranges or pays standard import duties and taxes.

Where available, JAPAN-ITEMS™ will arrange for duties, taxes and standard import charges to be handled through its logistics partners, carriers, customs brokers or applicable tax schemes so that the customer does not have to make a separate standard import payment upon delivery.

This arrangement does not remove any mandatory customs or legal requirements imposed by the destination country.

11. Delivery Address

The customer is responsible for providing a complete, accurate and deliverable shipping address.

The customer should ensure that the address includes all required details, such as recipient name, street address, building number, apartment number, postal code, city, region, country, phone number and any other information required for delivery.

JAPAN-ITEMS™ is not responsible for delivery failure, delays, additional costs or returned parcels caused by incorrect or incomplete delivery information provided by the customer.

12. Failed Delivery, Refused Delivery and Uncollected Parcels

If a delivery fails because the customer refuses delivery, does not collect the parcel, provides incorrect information, is unavailable for delivery, fails to respond to the carrier or otherwise prevents successful delivery, the parcel may be returned, stored, abandoned or disposed of depending on carrier and customs rules.

In such cases, JAPAN-ITEMS™ will review the situation and may, where permitted by law:

  1. arrange reshipment at the customer’s cost;
  2. refund the customer after deducting reasonable costs actually incurred;
  3. charge the customer for return, storage, reshipment or other reasonable costs;
  4. refuse a refund where the parcel is lost, destroyed or abandoned due to customer action or inaction and where permitted by law.

This does not affect the customer’s mandatory legal rights.

13. Delivery Delays

Delivery times are estimates only.

Delays may occur due to:

  1. sourcing or availability confirmation;
  2. domestic shipping within Japan;
  3. product inspection or packing;
  4. export processing;
  5. international transport delays;
  6. customs inspections;
  7. carrier disruptions;
  8. local holidays;
  9. weather;
  10. strikes or labour disruptions;
  11. force majeure events;
  12. government restrictions or regulatory changes.

JAPAN-ITEMS™ will use reasonable efforts to assist the customer where a shipment is delayed, but cannot guarantee delivery by a specific date unless expressly agreed in writing.

14. Lost Parcels

If tracking indicates that a parcel may be lost, the customer should contact JAPAN-ITEMS™ at support@japan-items.com.

JAPAN-ITEMS™ may open an investigation with the carrier or logistics partner. Carrier investigations may take time and may require cooperation from the customer.

If the parcel is confirmed lost, JAPAN-ITEMS™ will provide a remedy in accordance with applicable law and the circumstances of the order, which may include refund, replacement where possible or another appropriate solution.

Because many items are unique, vintage or one-of-a-kind, an exact replacement may not be available.

15. Damaged Parcels

If a parcel arrives visibly damaged, the customer should, where possible:

  1. photograph the outer packaging before opening;
  2. photograph the shipping label;
  3. photograph the inner packaging;
  4. photograph the damaged product;
  5. keep all packaging materials;
  6. contact JAPAN-ITEMS™ as soon as possible.

The customer should not discard the packaging until the case has been reviewed, as carriers may require packaging evidence for damage claims.

JAPAN-ITEMS™ will review the case and provide a remedy in accordance with applicable law and the circumstances of the order.

16. Restricted Products and Shipping Limitations

Some products may be subject to shipping restrictions, import restrictions, carrier limitations, safety rules, battery restrictions, customs controls, brand restrictions, regional regulations or local laws.

JAPAN-ITEMS™ may cancel and refund an order if the product cannot be legally or safely shipped to the destination country.

Examples of products that may require additional checks include electronics, batteries, audio equipment, camera equipment, watches, leather goods, cultural objects, items containing restricted materials and products requiring special documentation.

17. Customer Use and Local Compatibility

The customer is responsible for checking whether the product can be lawfully used in the customer’s country.

For electronics, audio equipment, cameras, musical instruments and similar products, compatibility may depend on voltage, plug type, frequency, region code, radio standards, media format, software, batteries, replacement parts, consumables or local safety rules.

JAPAN-ITEMS™ may provide available product information, but does not guarantee local compatibility unless expressly confirmed in writing.

18. Returns and Return Shipping

Return rules are described separately in the Returns & Refund Policy.

Unless otherwise required by law or unless the product is defective, damaged or not as described, the customer may be responsible for the direct cost of return shipping.

Because products are sourced internationally and may need to be returned to a specific address, the customer should not send any product back before receiving return instructions from JAPAN-ITEMS™.

19. Changes to This Policy

JAPAN-ITEMS™ may update this Shipping & Duties/Taxes Policy from time to time to reflect changes in shipping procedures, carrier services, customs rules, tax handling, supported destinations, operational practices or legal requirements.

The Policy applicable to an order is the Policy in force at the time the order is placed, unless a change is required by law or applies only to future use of the Store.
